Five tips for writing your thank you letter

Imagine that each of the donations you receive for your collection marks the start of a conversation. Expressing your thanks immediately demonstrates your dedication to your cause, and your gratitude for the help you have already received. If possible, send a thank you letter within 48 hours of receiving a donation.

2. Be sincere and people will feel generous.

Rather than just sending a simple “thank you” to your donors, find ways to make your message come alive. For example, you just need to include an inspirational quote related to your campaign, or share a personal story in a few lines.

Information you might consider including:

  • What does their gift mean to you personally?
  • What impact will their gift have on the beneficiary's situation?

Expressions that say more than a simple “thank you”

  • “We would never have made it without you”
  • “Your donation helped [insert the reason for your campaign here]”

3. Explain to your supporters how their donation will be used

It is essential that your thank you letter indicates how the donation was useful for your campaign. Show donors that their money is being used wisely. Describe for each of the donations what they have enabled you to accomplish, and keep your donors informed of your future projects.

Expressions that make it possible to mention the impact of a contribution, regardless of its amount:

  • “These € 10 will help pay for school supplies for my new students. »
  • “Your donation of € 50 is exactly what I needed to buy my dog's new medicine. »
  • “Your generous donation of € 250 enabled my family to stay at the hotel while our daughter had emergency surgery away from home. »

4. Personalize your letter

Generic thank you letters can hurt the relationships you've built with your donors. Instead, resort to a few little tricks to make them feel the most appreciated of all. Instead of emphasizing the amount of their donation, emphasize what their support means to you, beyond the financial aspect.
